Privacy Policy
At Easy Chauffeurs, which you can visit at easychauffeurs.com, one of our main priorities is the privacy of our website visitors. This Privacy Policy document contains types of information that are collected and recorded by Easy Chauffeurs when you book a ride or request a quote.
This Privacy Policy explains what kind of info we collect from you, how we use it, and what happens when you sign up for an account. If you have questions or want to know more, feel free to reach out to us anytime!
This policy only covers what happens on our website – it doesn’t apply to stuff we do offline or through other ways besides our site. This Privacy Policy is effective from 5th February, 2025.
Your Consent
By using our website, you’re saying “yes” to this Privacy Policy and agreeing to follow its rules.
What Info Do We Collect?
We’ll let you know exactly what personal details we need from you and why we need them when we ask for them. For example:
- If you contact us directly: We might get your name, email, phone number, and whatever you write in your message or send as attachments.
- When you request a quote: We could ask for your name, company name (if you have one), address, email, and phone number.
- When you book a journey: We would like to ask your name, mobile number, email, pickup location, additional stop, drop-off location, pickup date & time.
- When you use our services or browse our site: We may collect:
- Personal Stuff: Like your name, address, email, phone number, payment details (like credit or debit card info), and booking preferences (where you’re going, when, and what kind of car you want).
- Usage Info: Things like your IP address (a number that shows where your device is), what browser you’re using, and what you do on our site.
How Do We Use Your Info?
We use your details to:
- Help you out: Book your rides, manage them, talk to you about them, and answer your questions.
- Make things better: Look at how you use our site to improve it and suggest stuff you might like.
- Send you updates: Share deals, newsletters, or news about our services—you can say “no thanks” anytime.
- Follow the law: Stick to rules, like those from Transport for London.
Who Do We Share Your Info With?
We might pass your info to:
- Trusted helpers: Companies that help us do things like process payments, answer your questions, or advertise.

Cookies and Web Beacons
We use “cookies” (tiny files that save info about what you like and what pages you visit) to make your time on our site better. They help us tweak things based on your browser or preferences. Other websites or ads you see might use cookies too, but our policy doesn’t cover them – check their rules if you’re curious! You can turn off cookies in your browser if you want.
How Long Do We Keep Your Info?
We hold onto your info only as long as we need it for the stuff we’ve explained here—like keeping your booking history to help you later or payment details for refunds. We might delete it sooner if the law says so or if we don’t need it anymore.
Contact Form Info
If you send us a message through our contact forms, you’re okay with us collecting your name, email, phone number, and what you say. We’ll use it to reply and help you out.
Kids Info
We care about keeping kids safe online. If you’re under 13, we don’t want your personal info. Parents, if you think your kid gave us their details, let us know right away—we’ll delete it fast!
Staying Secure
We take keeping your info safe seriously. Here’s how we protect it:
- Safe storage: Sensitive stuff is kept in encrypted cloud servers, not on regular computers.
- Locked devices: Our office computers need passwords and use strong security.
- Safe payments: We use Stripe (a secure payment company) so your card info stays protected.

Other Policies
How Do We Send Out Drivers?
We use a cool system called Taxi Base Management System (TBMS) to handle bookings:
- Getting Bookings: You can book through our site, email booking@easychauffeurs.com, or call +44 (0) 20 8079 2720. No app yet!
- Adding Details: We put your name, number, pickup/drop-off spots, and fare into TBMS.
- Picking Drivers: TBMS tracks driver and car documents—only active drivers with valid papers get jobs.
- Sending Drivers Out: Controllers log every move in TBMS, and drivers update their status (like “On the way” or “Done”) with GPS.
- Telling You: We send you the driver’s name, pic, and car info by email and text.
- Storing Info: TBMS keeps everything safe on its servers—we don’t store it ourselves.
Hiring Ex-Offenders
We believe everyone deserves a fair shot, even people with past mistakes. Here’s how we handle it:
- Following Laws: We stick to rules like the Rehabilitation of Offenders Act and GDPR.
- Checking Records: Applicants tell us about unspent convictions; some jobs need a background check.
- Deciding Fairly: We look at the crime, how it fits the job, how long ago it was, and talk to the person about it.
- Some Jobs Say No: A few roles can’t hire ex-offenders if the law or safety says so.
- Helping Out: If we hire you, we check in, offer training, and keep your past private.
How Do We Set Prices?
Our fares are clear and fair:
- Fixed Prices: For things like airport trips, you get a set price shown upfront.
- Mile-by-Mile: Other trips start with a base fare for 12.42 miles, then add a charge per mile after that. Late-night rides might cost extra.
- All Included: Prices cover taxes, parking, and traffic fees – no surprises!
- Car Choices: Different cars (like fancy ones) have different rates.
- Online Tool: Our site figures out your fare based on where you’re going and shows it before you book.
Voice Contact Rule
We follow Transport for London’s rule to always have a real person you can call:
- Live Help: During work hours and rides, you can talk to someone about bookings or problems.
- Who Can Call: Passengers, drivers, or parents can reach us for emergencies or help.
- How to Reach Us: We share our number in emails, texts, and driver info.
- Missed Calls: If we miss you, we get an alert and call back fast.
Keeping Data Safe (ICO & GDPR)
We protect your info like this:
- Double Locks: Emails and storage need two steps to open.
- Cloud Safety: Files stay in encrypted online storage, not on PCs.
- Locked Papers: Physical documents are in a safe that only some staff can open.
- Secure Payments: We use Stripe – no card details stay with us.
- Driver Files: Stored in our software, not on paper.
